Org-level Sharing Options

Three admin-controlled toggles that determine how Digital Twin personas are visible and accessible across your organization — set once, apply to everyone.

What Are Org-level Sharing Settings?

By default, Viven is designed for open, collaborative access — managers can see their team's Digital Twins, and colleagues can query each other's personas at a standard level. Org-level sharing settings let administrators tighten or loosen these defaults based on their organization's culture and compliance posture.

These settings live in the Admin Console under Privacy → Settings. They are global toggles — there are no per-user or per-team exceptions at this level. Changes take effect immediately for all active sessions.

The Three Settings

SettingDefaultWhat it controls
Manager's Full Persona AccessOnManagers can access the full Digital Twin personas of their direct reports and their teams. Disable to restrict manager visibility to their own persona only.
Standard Persona AccessOnAll users can query the Digital Twin personas of their colleagues at a standard access level. Disable to make personas private by default — users can only access their own.
Hide "Open to all users" switchOffThe toggle that lets individual users make their own persona publicly accessible within the org is visible by default. Enable to hide it, preventing users from changing their own persona visibility.
Disabling access settings is immediate and org-wide

Turning off Standard Persona Access removes cross-user Twin visibility for everyone the moment you save. Turning off Manager's Full Persona Access cuts manager visibility of their team instantly. There is no grace period or preview — confirm the intended impact before making changes.

How These Interact

Think of the three settings as layers of access control, from broadest to most granular:

  1. Standard Persona Access is the widest gate — it controls whether any cross-user visibility exists at all.
  2. Manager's Full Persona Access is a narrower gate on top — it controls elevated access for the management chain specifically.
  3. Hide "Open to all users" switch controls whether employees themselves can voluntarily expand their own visibility beyond what admins have set.

If Standard Persona Access is off, managers also lose cross-team visibility regardless of the Manager's Full Persona Access setting.
